This policy explains how we collect, use, share, store, and protect personal data of parents/guardians and children who interact with our preschool, website, WhatsApp, forms, events, and on-premise services (including Daycare and Evening Activity Classes). By engaging with us, you consent to this policy.

1) Scope

  • Applies to personal data collected digitally (website forms, email, messaging apps, CCTV systems with digital storage, school management software) and personal data later digitised from offline forms.

  • Applies to all programs: Me & Mom (12–24 months), Playgroup, Nursery, Jr. KG, Sr. KG, Daycare, Evening Activity Classes, school events, and counselling visits.

2) What personal data we collect

Parent/Guardian data:

  • Identity: name, relationship to child, photo (if provided), ID proofs (when required by law), signatures.

  • Contact: mobile numbers, email addresses, residential addresses.

  • Preferences & communication history.

Child data:

  • Identity: name, date of birth, photograph, admission number, class/section.

  • Emergency & authorised pick-up details.

  • Health & safety: allergies, dietary restrictions, medical notes shared by you, vaccination status (if submitted), special needs information (if submitted).

  • Attendance, performance observations, activities participation, portfolios.

Device/usage data (digital services):

  • Cookies/analytics (see Cookies below), IP address, browser, time-stamps, pages viewed, referral source.

  • CCTV footage at campus entrances, corridors, classrooms, and common areas (signage will be placed where CCTV is active).

3) How we use personal data (purposes)

  • Admission processing, enrolment, invoicing, receipts.

  • Academic & co-curricular administration, lesson planning, learning assessments, child progress updates.

  • Safety & security: identity verification of pick-up persons, emergency contact, incident management, CCTV monitoring.

  • Health & wellbeing: allergy management, first-aid documentation, special accommodation planning.

  • Communication: updates via SMS/WhatsApp/School App/email/phone, circulars, timetable & event notifications.

  • Photos & videos for internal documentation and (only with explicit consent) for marketing/website/social media/print.

  • Legal compliance, dispute resolution, audit, and record keeping.

  • Website and service improvement, analytics, and fraud prevention.

4) Legal bases & consent

  • We process data with your consent for admissions, communications, and optional services.

  • For children (under 18 years), we seek verifiable parental/guardian consent before processing their data for non-essential purposes (e.g., marketing, public posting of images/videos).

  • We may process certain data without fresh consent where required by applicable law, for safety, or to perform our contract with you.

5) Children’s data safeguards

  • We do not use children’s data for targeted advertising, behavioural profiling, or unnecessary tracking.

  • Images or videos of children will not be shared publicly without a signed consent form from the parent/guardian.

  • We minimise collection to what is necessary for education, safety, and operations.

6) Data sharing & third parties

We may share limited data with:

  • Service providers under contract (e.g., school ERP, fee payment gateway, SMS/WhatsApp/App service, transport partners, photographers for events, auditors).

  • Authorities, courts, or law enforcement when legally required.

  • Medical professionals during emergencies.
    All vendors must use data only for our stated purposes and protect it with appropriate security measures. We do not sell personal data.

7) International data transfers

Where services or storage are located outside India, we will use reasonable safeguards (contractual clauses, encryption, access controls) and obtain consent when required by applicable law.

8) Data retention

  • We retain admission and academic records for as long as a child is enrolled and for a reasonable period thereafter to meet legal, accounting, and safeguarding requirements.

  • Financial records are kept as per statutory retention periods.

  • CCTV footage is typically retained for 30–90 days unless needed longer for investigations.

  • Photos/videos used for internal documentation are retained for institutional history unless you request deletion (where feasible).

  • We regularly review and securely delete data that is no longer necessary.

9) Your rights

Subject to applicable law, you may:

  • Request access to your/your child’s personal data and a summary of processing activities.

  • Request correction or updating of inaccurate or incomplete data.

  • Request erasure of data no longer required for stated purposes or withdraw consent for optional uses.

  • Opt-out of non-essential communications at any time.

  • Nominate a person to exercise your rights in case of incapacity (where enabled by law).
    To exercise these rights, contact our Grievance Officer (see top of policy). We will respond within one month or as required by law.

10) Security measures

We implement administrative, technical, and physical safeguards including:

  • Staff confidentiality undertakings and role-based access controls.

  • Password policies, device hardening, encrypted storage where feasible.

  • Secure disposal of paper forms and digital media.

  • Vendor due diligence and data processing agreements.

  • Incident response procedures and breach notification to affected individuals and authorities where required by law.

11) Cookies & analytics (website/app)

  • We may use essential cookies for site functionality and session management.

  • With consent, we may use analytics cookies to understand visitor behaviour and improve our site.

  • You can control cookies via your browser settings. Disabling certain cookies may affect site features.

12) Photos, videos & marketing consent

  • During events and class activities, we may take photos/videos for internal documentation.

  • Public sharing (website, brochures, social media) happens only with your explicit, revocable consent.

  • You can withdraw consent at any time; we will stop future use and, where reasonable, remove content from our channels.

13) WhatsApp/SMS/Email communications

  • By providing your contact number/email, you authorise us to send essential school updates.

  • Promotional messages (e.g., new programs like Evening Activity Classes) will be sent only with your consent and include an opt-out option.

14) Payment information

  • Online fee payments are processed via third-party gateways. We do not store full card, UPI PIN, or CVV details on our systems.

  • We receive transaction confirmations and limited metadata for reconciliation and receipts.

15) Third-party links

Our website or messages may contain links to external sites. Their privacy practices are beyond our control. Please review those policies before sharing data.

16) Updates to this policy

We may update this policy to reflect legal, technical, or operational changes. Significant changes will be notified via our website or parent communication channels. The latest version will carry the Effective Date at the top.

17) Contact & grievances

For requests, complaints, or questions, please contact our Grievance Officer at the email/phone provided above. We aim to resolve grievances within 30 days.

Parent/Guardian Declarations (for admission forms)

By signing the admission form, I/we:

  1. Confirm that the information provided is accurate and that I/we are the lawful parents/guardians of the child.

  2. Provide consent for processing the child’s data for education, safety, and administration.

  3. Give/Do not give consent for the school to use the child’s photos/videos for public materials (tick boxes will be provided).

  4. Understand my/our rights to access, correct, or request deletion of data and to withdraw consent for optional uses at any time.

Notes for Transparency

  • Copies of consent forms, CCTV signage text, and photo/video release templates are available on request.
